This policy covers southby.me, the Discord sign-in routes, and the image uploader at /upload. It describes SouthBy's own processing. Discord, Cloudflare, and OVHcloud separately control how they process information in their services.
SouthBy requests Discord's identify OAuth scope. After sign-in, SouthBy receives your Discord user ID, username, global or display name, and avatar identifier. SouthBy does not request your Discord password, email address, friend list, direct messages, or server message history through this sign-in. Login state and the returned identity fields are kept in a signed browser session; signing out clears that SouthBy session.
Your Discord user ID is used to verify membership in The Cult of Nova, check whether the account is banned, and determine whether an administrator has restricted its upload access. The local restriction database may retain the restricted user's ID, the reason, the administrator responsible, and the time of the action until an administrator removes that record.
Files remain on your device while they are only queued in the browser. After you press Upload, SouthBy receives the selected image and channel choice, checks the filename extension and request-size ceiling, and streams the file to the configured Discord webhook for that channel without intentionally resizing or recompressing it. The delivered filename contains the original base name followed by your sanitized Discord username and user ID. The webhook may also display your Discord username and avatar. That attribution is visible wherever the resulting Discord message or attachment is visible.
The upload application does not intentionally create a permanent local copy of a successfully submitted file, although normal request handling may buffer data temporarily in memory or temporary storage. Once Discord accepts an upload, Discord hosts the message and attachment under the selected channel's permissions and retention practices. Logging and security systems may record the request time, route, response status, network address or proxy information, browser user agent, and operational errors. Those records are kept as needed for security, abuse prevention, maintenance, and troubleshooting rather than under a promised fixed retention period.
SouthBy reads scheduled-event details through its Discord bot to operate the public event calendar and countdown. The locally retained event archive may contain an event's Discord ID, occurrence ID, name, description, location, scheduled start and end times, recurrence label, public Discord event link, and aggregate interested-user count. It does not intentionally retain the identities of interested users. Completed event entries remain in this archive so the public schedule can preserve its history; canceled future entries are removed when Discord no longer reports them.
SouthBy sends authentication requests and uploaded content to Discord, uses Cloudflare for network delivery and security, and runs the origin service on OVHcloud infrastructure. SouthBy does not sell uploader information or use it for targeted advertising. Provider processing is governed by the Discord Privacy Policy, Cloudflare Privacy Policy, and OVHcloud Privacy Policy. Information may also be preserved or disclosed when reasonably necessary to investigate abuse, protect users or the service, or comply with law.
You can avoid sending a file by removing it from the queue or leaving the page before pressing Upload. You can end the SouthBy login session by signing out. Requests concerning SouthBy's local session, access-restriction record, or operational records may be directed to a SouthBy administrator through The Cult of Nova. Removing SouthBy-held information does not automatically remove a message or attachment already delivered to Discord; removal from Discord must be handled through the relevant channel or server administrator and remains subject to Discord's systems.
SouthBy uses authenticated routes, server-side membership and restriction checks, private service credentials, restricted local listeners, TLS, security headers, and encrypted disaster-recovery backups. No internet service can guarantee absolute security. Material changes to these practices will be reflected here by updating the date above.

By using SouthBy, you agree to these terms and the Privacy Policy. The uploader requires a Discord sign-in, current membership in The Cult of Nova, and an account that is neither banned nor locally restricted from uploading. Passing those checks does not create a permanent entitlement to the service; administrators may suspend or revoke access to protect the community or infrastructure.
The web interface accepts files named with PNG, JPG, JPEG, GIF, or WebP extensions and applies a 500 MB request ceiling per image. Files are sent sequentially to a configured Discord webhook for the channel you select. The 500 MB ceiling is SouthBy's maximum request size, not a promise that Discord will accept a file that large; Discord limits, webhook availability, network timeouts, or channel configuration may cause a smaller upload to fail. Do not disguise another file type by changing its extension.
You retain whatever ownership rights you have in a submitted file. You must have the legal right and any necessary permission to send it to the selected Discord channel. You grant SouthBy the limited permission needed to receive, rename, transmit, and deliver that file as you direct. Do not upload unlawful content, malware, spam, material that infringes intellectual-property or privacy rights, non-consensual intimate content, sexual content involving minors, doxxing, threats, harassment, impersonation, or anything prohibited by Discord's rules or The Cult of Nova's server rules.
You are responsible for checking the selected channel before confirming an upload. Once delivered, the message and attachment may be viewed, downloaded, moderated, copied, or reshared by people with access to that Discord space. Channel membership and permissions can change. SouthBy cannot guarantee confidentiality, continued availability, or deletion of content after it reaches Discord.
SouthBy renames the delivered file to append your sanitized Discord username and user ID to its original base name. The Discord webhook may also post using your username and avatar. By uploading, you authorize this attribution and understand that it can remain visible with the Discord message or downloaded file.
Authentication and delivery rely on Discord, network delivery and security rely on Cloudflare, and hosting relies on OVHcloud. Your use of Discord remains subject to the current Discord Terms of Service, Community Guidelines, and applicable server rules. Third-party outages, restrictions, content decisions, and policy changes are outside SouthBy's control.
SouthBy administrators may reject uploads, remove Discord content they control, preserve relevant operational records, restrict an account, or report conduct when reasonably necessary to enforce these terms, respond to abuse or security incidents, protect users, or comply with law. Attempts to bypass authentication, membership checks, channel restrictions, file limits, or other safeguards are prohibited.
The service is provided as available and may be changed, interrupted, rate-limited, or discontinued. Upload success, delivery speed, attachment permanence, and returned Discord URLs are not guaranteed. Keep your own copy of anything important and verify the destination after uploading. To the extent permitted by law, SouthBy is not responsible for losses caused by user-selected destinations, third-party service failures, unauthorized redistribution by Discord users, or reliance on the uploader as permanent storage.
These terms may be updated when the service, providers, or rules change. The updated date above identifies the current version. Continued use after an update constitutes acceptance to the extent permitted by law. Questions may be directed to a SouthBy administrator through The Cult of Nova.
